Our Process

Four Phases, One Outcome

From the first consultation call through production operations, our delivery is transparent, structured, and validated across dozens of real-world projects.

Four Phases, One Outcome

  1. Intake & consult

    Intake and initial consultation

The client shares an initial need: a web app, an internal system, an AI Agent, process automation or a SaaS platform. OKAXI listens to the context and gives early directional advice.

    Key Activities

    • Receive the request by email, form or a first meeting
    • Listen to the client context and expectations
    • Advise on direction and a suitable engagement model
    • Define the next step and the discovery schedule

    Deliverables

A recorded need plus early directional advice

  2. Requirements

    Requirements discovery

OKAXI discusses the business domain, goals, budget, desired timeline, existing systems and end users to understand the real problem.

    Key Activities

    • Discuss the business domain and goals
    • Clarify budget, timeline and constraints
    • Survey existing systems and related data
    • Identify end users and usage scale

    Deliverables

    A preliminary business requirements document

  3. Solution proposal

    Solution proposal and architecture

Based on the discovery, OKAXI defines the scope of work, the proposed technology, the timeline, the team and an estimated cost.

    Key Activities

    • Define a detailed scope of work
    • Propose the technology and target architecture
    • Build the timeline and staffing plan
    • Estimate cost per work item

    Deliverables

A solution proposal with technology, timeline and cost estimate

  4. Quote / proposal

    Quote and scope agreement

Both sides agree on scope, deliverables, milestones, the acceptance method and payment terms in a clear proposal.

    Key Activities

    • Draft a transparent proposal and quote
    • Agree on deliverables and milestones
    • Agree on acceptance per phase
    • Finalize the payment terms

    Deliverables

A detailed proposal and quote with milestones

  5. Contract

    Contract signing

Sign a software service contract, a system development contract or an outsourcing contract depending on the engagement, with the rights of both sides clearly defined.

    Key Activities

    • Select the right contract type
    • Review legal and security terms (NDA)
    • Sign and archive the paperwork
    • Kick off the project and assign the team

    Deliverables

A signed contract and a project kickoff plan

  6. Execution

    Project execution and development

The team designs the UI and UX, develops in sprints, demos regularly, tests and adjusts continuously based on client feedback.

    Key Activities

    • Design and approve the UI and UX
    • Develop in sprints with strict code review
    • Run regular client demos
    • Test and adjust from feedback

    Deliverables

Sprint output plus regular demo builds

  7. Acceptance

    Acceptance and sign-off

The client verifies each feature against the agreed scope, checking the acceptance criteria before approving the handover.

    Key Activities

    • Prepare the acceptance environment and data
    • Client verifies features against the scope
    • Log and resolve any fixes
    • Confirm formal acceptance

    Deliverables

An acceptance record against the agreed scope

  8. Handover & maintenance

    Handover, maintenance and operation

Hand over source code, accounts and documentation as agreed, then keep supporting maintenance, operation and future upgrades.

    Key Activities

    • Hand over source code, accounts and docs
    • Train the internal operations team
    • Set up the maintenance and support plan
    • Monitor, operate and upgrade as needed

    Deliverables

A handover package plus a maintenance and operation contract
